What to prepare before switching POS

Before cutover, clear devices/network, menu prices, accounts/permissions, visible fiscal-ticket items and rollback mindset; separate from the opening-day checklist.

Your old till is slow, reports are messy, and you have decided to switch. This page is not a legal agreement and not the hour-by-hour opening-day runbook. It is the before you cut over checklist: devices and network, menu and prices, people and permissions, tax/receipt items that are already described publicly and visible in the admin UI, plus a calm plan for rolling back the same day if needed.

Still deciding whether to switch at all? Start with the Restaurant POS selection checklist. For opening day itself, see What to check on opening-day POS.

What this covers / what it does not

Covers

Does not cover

1. Devices and network — write it down first

Before you install anything, jot down:

  1. How many tills / terminals run at the same time at peak?
  2. Where are printers, card readers, kitchen displays — and how do they connect today?
  3. Is the local network stable? Do you have a backup path for admin login?
  4. Who can reboot the router, and where are the passwords?

For multi-till LAN and terminal registration detail, see LAN multi-till & terminal registration. Do not put “every printer / every card terminal is guaranteed compatible” on your list — only what you have tested in your shop or can see in the product UI.

2. Menu and prices — move numbers, not clutter

Before cutover, assemble:

For configuring payment methods, tax rates, and surcharges in admin, see Payment methods, tax rates & surcharges. Stock counts are not the same as menu prices — if inventory matters on switch week, use the inventory guide.

3. People, accounts, permissions

List who can do what on the old system, then design the new roles:

Do not expect the software to invent who the manager is — you decide that before switch day.

4. Tax, receipts, NTAK — visible scope only

The items below are the ones a shop owner can see in admin:

Do not add to your checklist:

For regulatory vocabulary, use the FAQ — this page is a prep checklist, not legal advice.

5. Cutover-day mindset: one day, a rollback plan

On switch day, do not try to change everything at once. Prefer:

  1. Pick a low-traffic window (after close or a quiet morning)
  2. Dry-run one short menu set and two payment methods before live rush
  3. Keep a paper / old-till fallback ready for that same day if the new side is unstable
  4. If the team is still stumbling by afternoon, decide in advance whether you roll back to the old flow for the rest of the day — that is control, not failure

This article does not promise a migration tool or on-site cutover service. Prep is the shop’s job; product capability overview lives under Features.
