Members, order centre and after-sales

Start with the boundaries

Regulars should be easy to find, stored value and points should actually work, and refunds or reprints should be easy to explain when something goes wrong. This item covers members, stored value and points, discounts, coupons and invoice details, plus order lookup, refunds and returned items, voids, reprints and retries. For how to set them up and how to refund, see the members & promotions and orders & refunds guides. Order intake: Ordering and tables; checkout and receipts: Checkout, payments and receipts; fiscal and NTAK software boundaries: Fiscal and NTAK.

What is included

This item covers: members, stored value, points, discounts, coupons and invoice details; order lookup and statistics; refunds, returned items, voids, reprints and retries.

Members and marketing

Under member management in the back office you will find members, stored-value users, member groups, discount rules, stored value/points, marketing coupons and redemption records; you can add members and generate coupons.

Which invoice-detail fields are available depends on what your store has enabled; how invoice headers are entered also depends on your store's back office.

Order centre and statistics

In store orders and statistics reports you can look up store sales, filter by standard / invoice / void / staff use, and see totals for receivable, received, refunds and voids. The back office is mainly for lookup and audit; refunds are not posted there.

The back office also shows delivery-platform order lists and platform settings, with platform confirmations and fiscal numbers shown separately, which makes reconciliation easier.

After-sales boundaries

Refunds, voids and similar actions can be set to need manager authorisation in the till authorisation policy. Refunds, returned items, voids, reprints and retries are all included in this item; how to do them is in the orders & refunds guide, and member and promotion setup is in the members & promotions guide.

What to check before you choose

Good fit / less of a fit

Good fit: Stores with regulars that run stored value, points or coupons; stores that need to look up and reconcile orders by type afterwards.

Less of a fit: Businesses that rely on a third-party CRM to sync member data; processes that expect to post refunds directly in the back office.

How it fits into a store day

  1. Before a weekend promotion, generate a batch of marketing coupons in member management.
  2. A regular wants to use points for part of the bill at checkout (whether points can be used at checkout depends on what your store has enabled).
  3. A guest asks for a refund; following the authorisation policy, the cashier gets a manager to confirm before processing it.
  4. At month end, filter voided orders in store orders and check them against the refund and void totals.
